How to Make an Invoice

A good invoice gets you paid faster and looks professional doing it. It’s also simpler than most people think — you need about eight pieces of information. Here’s exactly what to include and how to send one.

What every invoice must include

Whether you’re a freelancer, a small business or billing a one-off job, these are the parts a client (and, later, your accountant) expects to see:

Step by step

  1. Open the Invoice Generator and fill in your business details (they’re remembered on your device for next time).
  2. Add the client’s name and address under “Bill to”.
  3. Give it an invoice number and dates. Keep numbers sequential — INV-001, INV-002 — so nothing is skipped.
  4. List each item with a clear description, quantity and rate. The amounts total automatically.
  5. Add tax or a discount if needed, and write your payment terms in the notes.
  6. Click “Download PDF” and send it to your client.
💡 Numbering tip: keep invoice numbers unique and in order. It makes your records easy to reconcile and looks organised to clients. Never reuse a number.

Do I need to add tax?

It depends on where you are and whether you’re registered for a sales tax like VAT or GST. If you are, show the tax rate and amount as a separate line so the client can see the breakdown. If you’re not registered, you usually don’t charge it — but check your local rules, since this guide is general and not tax advice.

How to send an invoice as a PDF

PDF is the standard because it looks the same on every device and can’t be accidentally edited. With the generator, “Download PDF” gives you a file you can attach to an email. A short, polite email — “Please find attached invoice INV-001 for [project]. Payment terms are [14 days]. Thank you!” — is all you need.
